Frequently Asked Questions

How long does setup take?

Most shops are up and running within the same day. Once you send us a message, we configure your account, connect your store, and walk you through the basic flow. Your staff can typically start selling within a couple of hours. We stay available on WhatsApp throughout the onboarding.

Will my cashiers be able to learn it quickly?

Yes. The POS screen is designed to be as simple as possible — search a product, add it, choose a payment method, done. Most cashiers are comfortable after their first shift. There are no complicated menus or procedures for everyday selling.

What device do I need to run it?

Webpinn POS runs in a browser — any modern device works. A tablet or laptop at the till is the most common setup. You do not need to install any software. The system is also fully usable on a phone if that is what you have available.

Can I trust my cashiers with it? What if someone steals?

The system has role-based access — cashiers can process sales but cannot edit prices, view profit reports, or access financial summaries. Every transaction is logged with the cashier's name, time, and payment method. As the owner, you have a full audit trail. You can also review the shift reconciliation report daily to catch any discrepancies in cash.

What do I need to use Webpinn POS?

You need either a self-hosted WordPress site with WooCommerce, or an active Shopify store. Webpinn POS uses your existing product catalogue as the foundation for its inventory and syncs stock changes back to your online store automatically.

Does it work without an internet connection?

Yes. Webpinn POS has a built-in offline mode. If your connection drops, the POS keeps working — products, customers, and the cart are all cached locally. Sales made offline are queued and synced automatically the moment you reconnect.

How does M-Pesa payment work at checkout?

During checkout, the cashier enters the customer's Safaricom number and triggers an M-Pesa STK Push prompt. The customer receives a pop-up on their phone and enters their PIN to pay. The POS polls for the payment in real-time and confirms automatically once the transaction is complete — no manual verification needed.

Is this a subscription or a one-time payment?

Both options are available. Monthly plans give you maximum flexibility — pay month to month and cancel anytime. Annual plans include 2 months free (equivalent to paying for 10 months and getting 12). All plans include continuous updates and technical support for the duration of your subscription.

Can I use it across multiple branches?

Yes. The Multi-Branch plan includes 2 branches and you can add as many more as you need at KES 800/month each. A 3-branch shop pays KES 3,300/month total. Each branch has its own stock, cashiers, and shift records, with full stock transfer and consolidated reporting across all locations.

What is the "Data Pro" add-on?

Data Pro is our advanced analytics engine. While our standard reports show you what sold, Data Pro tells you why and who is buying. It uses AI to score your customers (RFM), predicts who might stop buying soon (Churn), and identifies behavioral trends like your busiest hours. It's designed for shop owners who want to use data to drive marketing and growth.

What kind of support is included?

All plans include access to our support team via WhatsApp for the duration of your subscription. We help with initial setup, WooCommerce or Shopify connection, M-Pesa configuration, hardware pairing, and any day-to-day questions. Business plan customers receive priority response.
